Delete your account
Last updated October 2026
You can delete a BeehiveKin account yourself, from the app. This page explains how, what goes, what we are obliged to keep, and how long it takes. It exists so that the answer is public rather than something you have to email us for.
If you are a parent or guardian
You do not have a BeehiveKinaccount. Your child’s records belong to the childcare setting that cares for them, and they decide what is held and for how long, so ask them directly. They can delete a child’s record, and they can give you a copy of everything. If you cannot reach them, email community@beehivekin.com and we will help them answer you.
If you run a setting
In the app
- Open the account menu, from your initials or photograph at the top of the screen.
- Choose Delete account, at the bottom.
- Enter your password. We ask again on purpose: the app opens with a fingerprint or a face, and that is not evidence that the person holding the phone is you.
Nothing is destroyed at that point. The deletion is scheduled for 30 days later, you stay signed in, and a banner offers to call it off for the whole window. Deleting should never be easier than undoing it.
By email
Write to community@beehivekin.com from the address on the account. We will confirm who you are, schedule the deletion, and tell you the date it completes.
Export first
An account owner can download everything the setting holds, at any time, from Your data in the same account menu. It is one file containing the records plus links to the signed PDFs and photographs. You are legally required to keep some of these records, so take the copy before you delete, not after.
What is deleted
- Child records: names, dates of birth, addresses, photographs, allergies and dietary needs, SEND information.
- Guardian records and their contact details.
- Signed consents and contracts, including their signatures and generated PDFs.
- The attendance register, diary entries, learning journal observations and photographs.
- Documents uploaded to a child’s record, and saved Learning Journey files.
- Your login, and the logins of anyone whose only setting was yours.
What we have to keep
Invoices and payment records are kept for six years after the end of the relationship, because HMRC expects a company to hold its financial records for that long. They contain your business details and what you paid. They hold no child or guardian data.
How long it takes
- Day 0. You ask. Everything still works, and you can cancel.
- Day 30. The records are removed from our live systems.
- Afterwards.Copies in our hosting providers’ backups age out on their own schedules, after which no copy remains.
More detail
Our privacy notice sets out what we hold and why, and the data processing agreement covers deletion and return of the records you hold as a controller. Questions: community@beehivekin.com.
